WORKSHOP TERMS AND CONDITIONS
COVID-19 Workshops Safety Procedures and Risk Assessments
Full risk assessments have been carried out. Moreover, we can confirm that St Peter’s School and our public liability covers us to operate our workshops during the dates stated. However, our insurers will not cover our employees or your children if they were to contract COVID-19 during their time with us.
Therefore, by bringing your child to our workshops you are agreeing that we will not accept any liability if your child was to get COVID-19 at our workshops. We appreciate this appears heavy handed, but from a legal perspective we need to state this. Of course, we are doing everything that is within our control to make your child’s time with us is as safe as possible.
If you are uncomfortable with this, we are prepared to refund you for the dates booked. Please, email luke@creativecoliseum.com to request a refund. We will do our utmost best to process any refund requests within seven working days.

Registration
-
Bookings will close 12 hours before each workshop day to enable us to know numbers and plan accordingly.

Where possible registration will take place outside.

Parents/Guardians will be required to sign in and record a password for collection of their child at the end of the day. If a different parent/guardian is collecting their child, please inform the team member at registration or contact Luke on 07814 339138 before our pick up time. All persons collecting children must state the correct password.

Hand sanitisers will be available at the sign in for every child to use.

Temperatures of each child will be taken.
-
Children and Parents/Guardians will be asked to confirm that they, or anyone in their family, are not displaying any COVID-19 symptoms. Any child who arrives displaying symptoms will not be allowed to partake in the days/weeks activities.

Parents will be asked not to gather at entrance gates or doors and follow social distancing rules.
What must Children bring?
We ask that the children bring the following items in a named bag or container:

A healthy packed lunch. Including 2 snacks.

Their own personal hand sanitiser.
-
A refillable drinks bottle.
-
Comfortable and suitable shoes.
-
Appropriate clothing for movement and arts and crafts.
-
Sun cream and a hat.
-
Appropriate outdoor clothing
No sharing of these items is permitted.

Hygiene
-
There is PPE available at all camps. Masks and gloves are compulsory when applying first aid.
-
Children and workshop leaders will clean their hands more often than usual, washing them thoroughly with antibacterial soap and water or using sanitiser. They will be asked to clean their hands on arrival, before and after eating and before and after each activity.

Hand sanitiser will be available in multiple locations throughout the space.
-
Any equipment that is shared is cleaned by the leaders before someone else uses it.
-
There will be no multi-use of equipment by any other camps or groups at the same time.
-
Regular cleaning will be enforced. We will have increased cleaning measures throughout the day for areas and equipment.
-
Leaders will ensure that physical contact is kept to a minimum.
-
Leaders will promote hygiene messages throughout the day.
Social distancing
-
2m social distancing rules apply in areas parents are waiting.
-
Leaders will regularly reassure children that there are steps being taken to keep them safe and reinforce rules for all activities.
-
One metre social distancing rule will apply at workshops, indoors and outdoors.
Toilets and cleaning
-
Workshop Leaders will check toilet facilities to ensure they are kept clean and social distancing rules are achieved.
Break times
-
Lunch breaks, snack breaks, free play and all activities are integrated into the day’s schedule, although they are subject to change depending on the activities on the day.
Activities
-
Leader’s will deliver outdoor activities through out the course of the 10 days.
-
Circle activities will be delivered in large areas with social distancing.
Compliance
-
Children who are unable to follow COVID-19 safety instructions will be asked to stay at home.
What happens if a member of the coaching team or a child displays COVID-19 symptoms?

The child or workshop leader will be sent home.
-
Everyone will be notified.
-
If symptomatic, we will promote the need to get tested. If someone tests positive for COVID-19 everyone will be notified to self-isolate.
High Expectations - doing the right thing

When you make your booking with us a contract is formed between us and we are obliged to set out the conditions of that agreement.

Your expectations of us should be high, and we will always aim to meet and exceed them. If things go wrong for any reason our team will always try to make good decisions and work hard to put things right quickly.

We trust that you will be reasonable, honest and fair, and you can be assured that we will be too.
Bookings
-
Bookings will take place through www.creativecoliseum.com
-
Creative Coliseum reserve the right to cancel a booking at its discretion. Refunds are on a case by case basis and will incur a charge up to 10% of the original fee.

Your booking will be confirmed by email.
-
Payment is regarded as acceptance of our booking conditions.
-
Payments by invoice must be made within 7 days of receipt of the invoice.
-
We accept payment by debit or credit cards, Apple pay and bank transfer, we currently do not accept cash, or child care vouchers
-
Bookings can be made online only.
-
There is a discount for booking days in blocks of 5 and 10, per child.
-
Lunch is not provided so you must supply your child with a packed lunch and snacks, and a refillable drinks bottle for water.
Changing your Booking
-
If you give us 7 days notice before the first day of attendance, you will be able to change your dates, subject to availability, free of charge.
-
If you purchased a discounted weekly five-day pass, and want to split up the days across different weeks, your booking will be recalculated using the standard daily rate, which will result in an additional charge.
-
Because a five-day weekly pass is a discounted price, if you wish to cancel a day(s) within a week, your booking fee will be recalculated at the daily rate which will result in an additional charge.
-
Responsibility for all booking details lies with you when completing the booking. Where possible we will make changes to your dates, subject to availability.
-
Bookings must be paid for in full. We cannot offer reductions for any sessions missed due to absences or other activities.
-
If you've purchased a full week at the weekly discounted price, and wish to split up the days across different weeks, your booking will then be recalculated using the standard daily rate, which may result in an additional charge.
Cancelling your Booking
-
You may cancel your booking up to 7 days in advance of the starting day of the workshop in order to receive a refund minus a 10% administrative charge.
-
Any cancellations after this 7 day period will result in no refunds.
-
Any cancellations on the day due to illness or injury will not result in a refund or credit.
Closures/Cancellations of workshops
-
If we are unable to run a workshop due to a unique circumstance, we will offer a full refund or credit for another day.
-
We will notify you of any closures by email, text or notification on the Creative Coliseum website and Social Media.
-
We reserve the right to cancel any or all workshops if a minimum number of participants is not met.
Sun Protection and clothing
-
It is your responsibility to make sure your child has appropriate clothing and sun protection for outdoor activities.
Activities
-
Planned daily activities may change in the event of unsuitable weather or other circumstances beyond our control.
-
Daily timetables are a guide and are subject to change. If you book individual days, we can't guarantee all the activities we offer will take place on those specific days.
Extended Day and Late Pick-up
-
Our standard hours for our summer workshops are 9:00am to 4.00pm.
-
Drop off from 8:30am
-
All children must be picked up by 4.30pm, any late pick ups will be charged at an additional £20 for every 15 mins after the final allotted pick up time.
-
If you are unable to collect by 4.30pm, please call Luke, on 07814 339138 as soon as possible.
Insurance
-
All children in our care are covered by the Equity Public Liability Insurance.
Health Policy
-
Creative Coliseum requires that all children who are ill or infectious be kept home for the full duration of their illness, and for 48 hours after the last symptom occurs.
-
Creative Coliseum can only administer medication if it has been prescribed by a doctor, and has documented evidence of this.
First Aid
-
In the event of an accident, first aid will be administered to your child and you will be notified at collection. If emergency services are called you will be notified immediately.

Prescribed medication must be given to our Camp Director. Creative Coliseum First Aid policies are in line with Ofsted recommendations.
-
If your child brings an Epipen to the workshop, we require you to demonstrate the use of the Epipen to our qualified first aider.
Notice of Absence
-
If your child does not attend a scheduled day on the camp, you must telephone Luke on 07814 339138
Lost Property
-
Creative Coliseum is not liable for any lost or damaged property.
-
Lost property will remain with a leader until the last day of the workshop period and must be collected before this.
-
All unclaimed property will be given to charity.
Photography and Video
-
We may on occasion take photographs and film activities at our workshops for informational material. You will always be notified if this is due to take place, and asked to grant your permission.
-
A policy will be available for you to view at checkout. Please advise Luke or the leader at registration, if you have any objections.
Mobile Phones & Electronic Devices
-
No electronics will be allowed during the workshops. If found, the device will be taken in by the workshops leaders and kept secure.

Creative Coliseum does not take responsibility for the damage or loss of any electronic devices.
Specific Needs, or Medical Conditions
-
We don't exclude any child due to specific needs, or medical conditions wherever possible.
-
It is your responsibility to inform us of any educational needs, or medical conditions so we can consider the most effective way to accommodate your child, and if it is possible for participation safely within our leader’s to pupil ratios.
-
A decision will be made on a case-by-case basis and is dependent upon the level of support your child needs. We reserve the right to review further bookings if we can’t meet the level or support required.

We are not able to provide additional staff to support a child above our normal ratios.
Child Protection
-
Our team have a duty to respond if we suspect any child in our care to be suffering from abuse, or if a child makes a disclosure about abuse. In this event, the team will follow The Child Protection Policy and contact the local area Child Protection Committee.
Disciplinary Procedures
-
Our experienced workshop leaders understand when a child's behaviour requires firm guidance, however in some circumstances our disciplinary procedures will be brought into action to protect the safety and enjoyment of the other children on our workshops.
-
In an instance of unacceptable disruptive behaviour, the child will be asked to sit out for a few minutes during which time a leader will address the behaviour and explain the consequences of repeated disruption.
-
If the child continues to behave in an unacceptable manner they will be asked to sit out for the rest of the activity.
-
If the child persists with negative behaviour then they will be taken out of the group and spend the rest of the day with the workshop director. Our director will talk to the parent/carer and discuss the options. If the child shows a willingness to change and improve their behaviour then they can return to the workshops the next day.
-
As a final resort, we reserve the right to exclude a child if they continue their persistent unacceptable behaviour.
BULLYING WILL NOT BE TOLERATED IN ANY SHAPE OR FORM.

Swearing & Inappropriate Language Policy
-
In the first instance of swearing or inappropriate language the child will be given a warning and warned that if they repeat the language their parents will contacted and they will be asked to leave the workshop.
Data Protection
-
Creative Coliseum acts as a Data Controller for the purposes of the Data Protection Act 1998. We need to collect some personal details from you so we can process your booking, such as names, ages, address, contact information for an emergency and any applicable medical or dietary restrictions.
-
It is your responsibility to ensure that you have permission to pass on the personal details of all the children for whom you are making a booking.
-
New GDPR law as of May 2018 states that no marketing may be sent to anyone without clear evidence of when and where a contact has opted in to agree to receive marketing from us.
-
We will only use your details for future marketing purposes if your have opted in to receive information from us.
-
Please let us know as soon as possible if you do not want to receive future mailings from Creative Coliseum.

Photography
Please inform us if you do NOT give consent to the photographing or videoing of your child. All images/videos are strictly for marketing purposes and will only appear on Creative Coliseum’s social media accounts, website and marketing. The policy is available to agree to at checkout.
